The Stories We Shape. The Power We Celebrate
The Stories We Shape. The Power We Celebrate
INTRODUCTION
The EBONY Power The EBONY Power 100 is one of the most influential cultural platforms celebrating the leaders, innovators, and visionaries shaping the future of Black excellence. More than an awards ceremony, it is a cultural moment where legacy, influence, and storytelling converge.
The 2026 theme, “The Stories We Shape,” recognizes the individuals whose work is actively shaping the present and defining the future of culture. This year’s celebration honors storytellers, trailblazers, and changemakers whose impact extends far beyond the moment of recognition.
Our approach to producing the 2026 EBONY Power 100 centers on translating this narrative into a cohesive live experience. Through intentional scenic design, cinematic storytelling, and thoughtfully curated guest moments, the environment itself becomes an extension of the stories being honored.
From the first invitation to the final moment on stage, every element of the evening will reflect the prestige of the EBONY legacy while embracing the energy and cultural relevance of today’s Black creative landscape.
CREATIVE INTERPRETATION
“The Stories We Shape” is not just a theme. It is a positioning statement.
The 2026 EBONY Power 100 must reflect narrative ownership, cultural authority, and a forward-looking evolution of the brand. Delivering that vision requires an integrated team capable of translating strategy into space, story into structure, and prestige into experience.
The EBONY Power 100 Cultural Production Collective was formed to meet that mandate.
We unite:

SCOPE OF WORK
We provide end-to-end production services that transform creative ideas into fully realized live experiences. Our work spans the full production lifecycle, including creative development, operational planning, technical design, and live event execution.
Our team provides comprehensive venue sourcing, evaluation, and contract management to secure the ideal location for the awards show and all supporting event components. This process includes identifying and vetting potential venues that align with the show’s production requirements, audience capacity, broadcast needs, and brand positioning.
Services include conducting venue research, coordinating site visits, evaluating technical infrastructure, assessing load-in and load-out capabilities, and reviewing considerations such as red carpet placement, press line capacity, backstage space, media rooms, talent holding, and audience flow.
Once a venue is identified, our team leads negotiations and contracting to secure favorable terms, including rental rates, labor requirements, union considerations, venue services, and operational restrictions. We work closely with venue management to align on production timelines, technical specifications, insurance requirements, and compliance with all local regulations.
Through this process, we ensure the selected venue supports the full scope of the awards show—from broadcast and red carpet operations to guest experience and media accommodations—while maintaining efficiency, cost control, and operational readiness.
VENUE ACQUISITION & CONTRACTING
SCOPE OF WORK
Our team develops comprehensive technical drawings and scenic site plans that serve as the operational blueprint for the entire production. These plans translate the creative vision into detailed layouts that guide all departments—including scenic fabrication, lighting, broadcast, press operations, guest experience, and venue coordination.
Services include the creation of scaled CAD drawings, scenic layouts, and technical plans that outline all physical elements of the event footprint. This includes red carpet environments, press lines, step-and-repeat placements, scenic installations, media rooms, backstage areas, sponsor activations, talent holding, guest flow paths, and production workspaces.
Each drawing package incorporates precise measurements, structural considerations, power locations, barricade and stanchion placement, camera positions, broadcast risers, and scenic wall systems. Special attention is given to guest experience design and people movement, ensuring clear pathways for talent arrivals, press interactions, audience access, and operational workflows.
These technical documents are shared across all production partners—including fabricators, venue teams, broadcast crews, security, and event operations—to ensure alignment, minimize on-site adjustments, and maintain efficient installation and execution throughout load-in, show day, and strike.
TECHNICAL DRAWINGS & SCENIC SITE PLANS
SCOPE OF WORK
FLOOR PLAN & EVENT RENDERINGS
SCOPE OF WORK
Our team develops detailed floor plans and visual event renderings that bring the production concept to life while serving as a critical planning tool for all departments involved in the event. These materials provide both a technical layout and a visual representation of how the event environment will function and appear within the venue.
Floor plans are created to scale and outline the full event footprint, including red carpet installations, press lines, step-and-repeat areas, media rooms, backstage operations, sponsor activations, guest seating, registration areas, and circulation pathways. Each plan is designed to ensure optimal space utilization while supporting efficient guest flow, talent movement, media operations, and production logistics.
In addition to technical layouts, our team produces visual renderings that illustrate scenic environments, branded installations, and key experiential elements. These renderings help stakeholders clearly understand the design intent, aesthetic direction, and spatial relationships between production components before fabrication and installation begin.
Together, these materials support alignment across production teams, sponsors, venue management, and creative partners—allowing all stakeholders to visualize the final environment, refine design decisions, and ensure the event experience is both operationally sound and visually impactful.
TRAFFIC PLANS, PERMITTING, & ARRIVALS MANAGEMENT
SCOPE OF WORK
Our team develops and manages comprehensive traffic and arrivals strategies to ensure the safe, efficient, and seamless movement of vehicles, talent, guests, and production teams throughout the event footprint. This process includes the creation of detailed traffic management plans that coordinate street usage, vehicle drop-off locations, red carpet arrivals, talent transportation routes, and production access points.
Services include working closely with city agencies, venue management, and law enforcement to secure all required permits for street closures, lane usage, barricades, and traffic control. Our team coordinates the placement of traffic control measures such as barricades, cones, signage, and pedestrian pathways to maintain clear and organized vehicle and foot traffic flow.
In addition to permitting and street logistics, we develop structured arrivals management systems for talent, VIP guests, sponsors, and production teams. This includes arrival schedules, credential verification checkpoints, vehicle staging areas, and coordinated drop-off procedures designed to maintain the pace of the red carpet while preventing congestion.
Through careful planning and coordination with security, transportation teams, and production leadership, we ensure that all arrivals—from high-profile talent to media and guests—move through the event environment smoothly while maintaining safety, schedule integrity, and a polished guest experience

WHERE PR & PRODUCTION OVERLAP
SCOPE OF WORK
RED CARPET ARRIVALS
SCOPE OF WORK
Our team oversees the planning and execution of the red carpet arrivals process, ensuring a seamless and well-coordinated experience for talent, VIP guests, sponsors, and media. This includes developing the full arrivals strategy and operational framework that governs how vehicles approach, unload, and transition talent onto the red carpet while maintaining schedule integrity and media engagement.
Services include coordinating with talent teams, transportation providers, security, and event production to establish structured arrival schedules, vehicle staging areas, and controlled drop-off procedures. Our team manages the pacing of arrivals to maintain a consistent flow along the red carpet while allowing talent adequate time for photography, interviews, and sponsor engagements.
We also oversee on-site arrivals teams responsible for vehicle coordination, talent escorting, credential verification, and communication between red carpet production, PR teams, and security. This ensures that each arrival is properly timed, talent is guided through the correct pathways, and media opportunities are maximized without creating congestion or delays.
Through careful planning, clear communication, and real-time coordination, our arrivals management process ensures the red carpet operates efficiently, maintains a polished and high-profile presentation, and supports the overall broadcast and media coverage objectives of the event.
Our team develops creative concepts and curated mood boards that establish the visual direction and experiential tone of the event. This process translates the overall theme, brand identity, and storytelling goals of the awards show into a cohesive design framework that informs every aspect of the production—from scenic environments and red carpet aesthetics to lighting, graphics, and guest experience.
Services include researching visual references, materials, color palettes, textures, and architectural elements to create curated mood boards that clearly communicate the intended atmosphere and design language. These boards serve as an early creative roadmap, helping stakeholders visualize the look and feel of the event before technical planning and fabrication begin.
Once approved, the creative concepts guide the development of scenic elements, branded environments, step-and-repeat treatments, stage and media backdrops, and other experiential touchpoints. Mood boards are also used to align internal teams, vendors, and fabrication partners to ensure consistency across all visual components.
This process ensures that the event environment is thoughtfully designed, visually cohesive, and aligned with the prestige and storytelling objectives of a major television and film awards production.
CREATIVE CONCEPTS & MOOD BOARDS
SCOPE OF WORK
Our team develops and refines the visual identity and creative assets that define the look, tone, and personality of the event across all platforms. This process ensures that the awards show presents a cohesive and recognizable brand experience that carries consistently through the physical environment, digital platforms, marketing materials, and broadcast elements.
Services include the creation and refinement of brand guidelines, color palettes, typography systems, graphic treatments, and visual motifs that reflect the theme and prestige of the event. These elements are applied across key touchpoints including red carpet backdrops, step-and-repeat graphics, scenic branding, signage, digital assets, sponsor integrations, and press materials.
Our team also works closely with production, marketing, and broadcast partners to ensure the brand identity translates seamlessly across both physical and digital environments. This includes supporting graphic development for scenic elements, environmental branding, social media assets, web content, and promotional campaigns.
Through a thoughtful and strategic creative process, we ensure the event’s brand identity is both visually compelling and operationally adaptable—enhancing audience engagement, elevating sponsor visibility, and reinforcing the overall storytelling and cultural impact of the awards show.
BRAND CREATIVE & BRAND IDENTITY
SCOPE OF WORK
SPONSORSHIP DECKS & BRANDED
ACTIVATION CONCEPTS
SCOPE OF WORK
Our team develops strategic sponsorship materials and branded activation concepts designed to attract partners and create meaningful brand integration within the awards show environment. This process begins with the creation of comprehensive sponsorship decks that clearly articulate the event’s vision, audience reach, media exposure, and partnership opportunities.
These materials outline tiered sponsorship packages, brand placement opportunities, and experiential integrations across key touchpoints including the red carpet, step-and-repeat environments, digital platforms, broadcast elements, and on-site guest experiences. Each opportunity is designed to provide measurable value through brand visibility, media impressions, and audience engagement.
In addition to sponsorship materials, our team conceptualizes custom branded activations that allow partners to participate in the event in authentic and memorable ways. These concepts may include interactive installations, branded lounges, content capture moments, digital integrations, hospitality environments, or experiential activations that align with the event’s creative direction while supporting sponsor marketing goals.
All activation concepts are developed with operational feasibility in mind, ensuring they integrate seamlessly within the event footprint, maintain guest flow, and support the overall production design while delivering high-impact experiences for both attendees and brand partners.
Our team develops a comprehensive editorial and social media content strategy designed to build awareness, drive audience engagement, and extend the reach of the awards show across digital platforms before, during, and after the event. This process focuses on creating compelling content that highlights key moments, celebrates talent, and amplifies the cultural impact of the event.
Services include the planning and production of editorial content such as feature stories, talent spotlights, behind-the-scenes coverage, event announcements, and show highlights. These materials are developed for distribution across press channels, the event website, partner platforms, and sponsor communications.
In parallel, we create a structured social media content plan that includes platform-specific creative assets, graphics, short-form video, and real-time event coverage. This includes pre-event teasers, nominee and presenter announcements, live red carpet moments, backstage content, and post-show highlights designed to maximize audience interaction and shareability.
Our team works closely with PR, marketing, and production partners to ensure all content aligns with the event’s brand identity, messaging strategy, and sponsor integrations. Through thoughtful storytelling and coordinated digital distribution, this approach expands the visibility of the event, drives online engagement, and creates lasting digital impressions beyond the live broadcast.

This includes coordinating floral installations, table arrangements, statement pieces, and accent designs that complement scenic elements and branded environments.
Our team works closely with rental vendors, florists, and production partners to manage delivery schedules, installation, styling, and strike logistics. PRODUCTION SCHEDULES & STAFFING PLANS
WHAT WE DO
CONTENT & SHOW ROS
WHAT WE DO
Our team develops the comprehensive content structure and Run of Show (ROS) that governs the timing, sequencing, and execution of all program elements throughout the event. This document serves as the master operational roadmap for producers, stage managers, broadcast teams, technical departments, and show talent, ensuring that every moment of the production is precisely coordinated.
Services include organizing and structuring all show content, including award presentations, performances, video packages, host segments, sponsor integrations, and transitional elements. Each component is carefully timed and placed within the overall program flow to maintain pacing, audience engagement, and broadcast continuity.
The Run of Show document outlines detailed cues, timing breakdowns, and departmental responsibilities for every segment of the program. This includes stage transitions, talent entrances and exits, video roll-ins, lighting cues, commercial break timing, and coordination with broadcast control rooms.
Our team works closely with show producers, writers, broadcast partners, and technical departments to ensure the ROS aligns with creative objectives while remaining operationally achievable. Through detailed planning and real-time coordination during rehearsals and show day, the Run of Show becomes the central guide that allows all teams to execute the production seamlessly from opening moments through the final segment of the broadcast.
BUDGET MANAGEMENT
WHAT WE DO
Our team provides comprehensive budget management services designed to maintain financial oversight, transparency, and cost control throughout the entire production process. This includes developing and maintaining detailed budget frameworks that track all expenses across departments, production phases, and event activations.
Services include the creation of fully itemized budget documents that organize costs by category, department, and functional area—such as scenic fabrication, lighting, technical production, red carpet operations, media rooms, hospitality, staffing, and logistics. Budgets can also be structured to reflect costs by individual activation or program component, allowing stakeholders to clearly understand how resources are allocated across the event footprint.
In addition to departmental breakouts, our team can track expenditures by production timeline, including pre-production, load-in, show day operations, and strike. This level of detail allows for accurate forecasting, real-time adjustments, and informed decision-making throughout the planning process.
We work closely with vendors, production partners, and internal stakeholders to source competitive estimates, negotiate pricing, and identify opportunities for cost efficiencies while maintaining the overall creative and operational standards of the event. Through careful monitoring and detailed reporting, our budget management process ensures financial accountability and supports the successful delivery of complex, large-scale productions.
DETAILED BREAKOUTS BY DAY, DEPARTMENT, AND ACTIVATION
RFP REQUIREMENTS
RFP REQUIREMENTS
We greatly appreciate the opportunity to be considered for this production and are excited by the vision and cultural significance of this event.
As part of our standard approach to client RFPs, we do not provide detailed creative concepts, visual renderings, messaging frameworks, or design packages during the proposal phase. The development of these elements represents a significant portion of the creative and strategic work our team provides, and they are typically developed in close collaboration with the client once a formal engagement is in place.
Rather than presenting pre-determined creative assets in isolation, our process is built around a collaborative discovery phase with key stakeholders. This ensures that the narrative interpretation, visual language, and guest experience strategy are fully aligned with the brand, editorial voice, and production goals of the event.
Upon award of the production, our team would immediately begin a structured creative development process that includes the following.
This approach allows us to deliver thoughtful, cohesive creative work that is strategically aligned, technically feasible, and reflective of the event’s broader storytelling goals.
We look forward to the opportunity to collaborate and bring this vision to life.
-
Working closely with your leadership and editorial teams, we would translate the event theme into a cohesive creative framework that informs the show environment, storytelling structure, and experiential touchpoints throughout the event.
-
Our team specializes in translating creative vision into physical space. Through technical site plans, scenic concepts, and guest flow strategies, we develop environments that support both storytelling and broadcast requirements while ensuring a seamless and elevated guest experience.
-
We approach honoree storytelling as a multi-touchpoint experience that extends beyond the stage moment. This may include curated arrival moments, environmental storytelling, media interactions, and experiential elements that celebrate honorees throughout the venue and across the broader event ecosystem.
-
Following creative alignment, our design team develops the full visual language for the show and experiential elements, including scenic graphics, digital displays, environmental branding, and all IRL design applications. These systems are built to work seamlessly across stage design, venue environments, and media capture.
BUDGET FRAMEWORK
BUDGET FRAMEWORK &
KEY COST DRIVERS
To provide a comprehensive budget analysis within the proposed budget range, several foundational elements must first be defined. These factors significantly influence overall production costs and are critical in establishing an accurate and scalable budget framework.
-
Guest count remains the single largest cost-driving factor in the production budget, as it amplifies expenses across numerous operational categories.
As guest counts increase, costs scale across multiple departments including:
Food & Beverage
Rentals, Furniture, and Décor
Venue size and associated venue costs
Security and credentialing
Traffic, parking, and arrivals management
Red carpet infrastructure
Experiential activation footprints
Staffing and guest services
Beyond cost escalation, guest counts above approximately 350 attendees can also begin to impact the quality and intimacy of programming, experiential activations, and curated guest experiences. Maintaining a thoughtful balance between audience size and experience design is an important consideration in shaping the overall event framework.
-
The second largest cost driver is venue selection.
To maintain flexibility and maximize production value within the budget range, we recommend considering studio spaces or ballrooms that do not require vendor exclusivity. Vendor flexibility allows the production team to source competitive partners across key production categories including:
Audio
Video
Lighting
Food & Beverage
Scenic and fabrication
Ideal venue characteristics include:
Natural or dedicated red carpet arrivals areas
Ease of access for guest arrival and talent transportation
Expanded footprints to support experiential activations and sponsor environments
Space allocation for talent green rooms and backstage operations
Flexible permitting for sidewalk and street closures
Adequate back-of-house production areas, catering staging, and logistics zones
Natural staging areas for limo drop-offs and callback vehicle staging
Selecting a venue that supports these operational needs can significantly reduce production complexity while allowing budget resources to be focused on guest experience, storytelling, and show design.
